    Additional documents:

    Minutes:

Following the last meeting of the Working Group and the comments made in relation to the draft Community Governance Review information document and survey document, updated documents had been circulated to Members.

At the last meeting of the Working Group Members had felt that more education and background information was needed to enable people to make a more informed decision in relation to whether or not Grantham should have a Town Council.  The document had been amended accordingly and the Chairman of the Working Group placed on record his thanks to the Head of Democratic Services and Deputy Monitoring Officer and the Community Governance Review Team for the work that they had done in relation to the documents and the tight turnaround.  These comments were echoed by other Members of the Working Group who felt that the amendments which included a list of services that the different tiers of local government undertook, together with the current precepts for the other towns in the district helped to give a more balanced document.

It was proposed, seconded and AGREED that the documents be circulated as part Community Governance Review Consultation.

The Chairman asked what the next steps in the process would be.

The Head of Democratic Services and Deputy Monitoring Officer thanked Members for their comments in respect of the documents.  A further proof reading of the documents for typographical errors, grammar would take place, in conjunction with the Chairman of the Working Group before being signed off for printing.

Community Governance Review Timetable - to be revised

    Minutes:

It was noted that as there had been a slight delay in the consultation documents being signed off this had meant that the draft timetable that had been agreed previously would need to be amended in conjunction with the Chairman and Vice-Chairman of the Working Group.  The Chairman asked how long the delay would be before the documents were circulated, to which the Head of Democratic Services and Deputy Monitoring Officer replied it would be a maximum of two weeks.  The timeframe would still enable the six week consultation period to take place and the replies received collated before the Council AGM in May 2022.  A meeting of the Working Group would be held before this date to discuss the responses received to the consultation and make a recommendation to Council.

Questions were asked about the circulation of documents.  It was stated that the consultation documents would be sent to all those residents within the unparished area of Grantham and also all the neighbouring parishes together with a list of stakeholders.   If Members were aware of organisations or groups which would like a copy of the consultation documents, they should forward their details to the CGR Team.

A question was asked about duplications made by residents sending in both a hard copy and an electronic copy.  It was noted that this would be addressed when the consultation responses were processed.

    Meeting ended at 14:19.
